We process personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What information we collect

• Order and account details: your name, billing and delivery address, email address, phone number and order history.
• Payment details: these are entered directly with our payment providers. We never see or store your full card details.
• Communications: messages you send us by email, phone or through the website.
• Newsletter details: your email address if you join Club 958 or sign up for updates. [Remove if not applicable]
• Website usage data: such as pages visited, device and browser type, approximate location and how you arrived at our site. This is collected through cookies and similar technologies only if you consent. See our Cookie Policy.

How we use your information, and our lawful basis

Who we share your information with

We don’t sell your personal data. We share it only with trusted service providers who help us run our business, and only as needed:

• Payment providers: Stripe, Opayo and PayPal, to process payments securely and prevent fraud
• Delivery companies: [e.g. Royal Mail, DPD], to deliver your order
• Website hosting and security: [hosting provider] and Cloudflare, to run and protect our website
• Analytics: Google Analytics and Microsoft Clarity, only if you accept analytics cookies
• Email marketing: [e.g. Mailchimp / Klaviyo], if you have subscribed to our newsletter [Remove if not applicable]

We may also disclose information where required by law, for example to HMRC or the police.

Some of these providers may process data outside the UK. Where they do, appropriate safeguards are in place, such as UK adequacy regulations or the International Data Transfer Agreement.

How long we keep your information

• Order and transaction records: 6 years, to meet tax and accounting requirements
• Customer account details: while your account is active, or until you ask us to delete it
• Newsletter subscriptions: until you unsubscribe
• Website analytics data: [14 / 26] months, in line with our Google Analytics settings

How we protect your information

Our website uses encrypted (HTTPS) connections, and payments are handled by PCI-compliant payment providers. Access to customer information is limited to staff who need it to process orders and help customers.

Your rights

You have the right to:

• ask for a copy of the personal data we hold about you
• ask us to correct inaccurate information
• ask us to delete your data, where we don’t need to keep it for legal reasons
• object to, or ask us to restrict, how we use your data
• ask us to transfer your data to another organisation
• withdraw consent at any time, for example by unsubscribing or changing your cookie settings

If you’re unhappy with how we’ve handled your data, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113. We’d appreciate the chance to resolve your concern first.
